1.       General Description

The Sports Coordinator acts as a liaison between the Sports Committee of the Federation of Gay Games (FGG) and the host city sports directors, sports co-chairs and working groups. The Sports Coordinator is a member of and answers directly to the FGG Sports Committee. The FGG Sports Committee, in turn, answers directly to the FGG Board of Directors. Every effort will be made to ensure gender parity among the total number of Sports Coordinators.

2.       Duties/Responsibilities

The Sports Coordinator will:
  1. Abide by the Bylaws, policies and procedures of the FGG.
  2. Attend, at a minimum, the FGG Sports Committee Meeting, during the FGG Annual Meeting immediately prior to the Gay Games that ends their term.
  3. As necessary, provide sport information and assistance to the host city organization in such areas as:
    1. Venue
    2. Rules
    3. Medical
    4. Equipment
    5. Judges
    6. Registration
    7. Athlete concerns
    8. Divisions
    9. Safety
    10. Scheduling
  4. Coordinate sports operations between host city's sports directors, sports co-chairs and sports working groups and the FGG Sports Committee.
  5. Submit a status report to the Sports Committee co-chairs each year prior to the annual FGG meeting. Copy the Sports Committee Co-chairs on all correspondence between them and the Host City contacts
  6. If the FGG Sports Committee does not have an operations manual for the sport on file, submit a brief outline of an operations manual for the sports event.
  7. Update and revise the sport operations manual as needed.
  8. Have the ability to participate in international correspondence with both telephone and e-mail.
  9. Perform any and all duties as requested by the Co-Chairs of the FGG Sports Committee or by the FGG Board of Directors.
Note: If requested, the Sports Coordinator will also present reports to the FGG Board of Directors and to the Executive Committee.
3.       Term

Once appointed, a Sports Coordinator will serve until the next Gay Games unless he or she resigns or is removed by the Sports Committee. Sports Coordinators seeking reappointment must comply with all FGG Sports Committee policies and procedures and must submit a renewal application for the next Gay Games cycle at the Annual Meeting immediately preceding the Gay Games that ends their term.
4.       Applicant Criteria

Each Sports Coordinator must:
  1. Have experience in the organization and administration of the events of the sport, or extensive experience in other related sports activities (i.e., tournament director, judge/referee, coach, seminar leader, rules arbitrator, officer of an organization representing that sport, competitor, scorekeeper, timer, etc.)
  2. Have other professional and/or volunteer organizational experience (e.g., operations director, officer, etc.).
  3. Demonstrate current knowledge of that sportÕs international rules or equivalent.
  4. Attend at least one meeting of the FGG Sports Committee prior to appointment.
    Note: The Sports Coordinator may not be the current host city's director/coordinator or co-chair.
5.       Voting Rights

The Sports Coordinator is entitled to one vote on each matter submitted to vote to the FGG Sports Committee, in accordance with Sports CommitteeÕs policies and procedures. The Sports Coordinator has no voting rights whatsoever at any meeting of the FGG Board of Directors, unless the Sports Coordinator is already the voting delegate of a director organization or an individual director of the FGG Board of Directors.
6.       Resignation, Removal and Vacancy

A Sports Coordinator may resign at any time by giving written notice to the Co-chairs of the FGG Sports Committee. Unless otherwise agreed to by the Co-chairs of the FGG Sports Committee, the resignation shall take effect immediately upon receipt thereof by the Co-chairs.<

Any Sports Coordinator may be removed by an affirmative vote of two-thirds (2/3) of all members then serving on the FGG Sports Committee or by a majority vote of the FGG Board of Directors for any action that violates the Bylaws, policies, procedures or directives of the FGG Sports Committee or the FGG. Written notice of removal shall be sent by the Co-chairs of the FGG Sports Committee to the Sports CoordinatorÕs address of record by certified mail, return receipt requested.

Newly created Sports Coordinator positions or vacancies may be filled according to the procedures of the FGG Sports Committee. Each person so voted to fill a newly created or vacant Sports Coordinator position shall remain in that position until a successor has been nominated and approved or until the next Gay Games that ends their term.
7.       Procedure for Application, Approval and Appointment

  1. Each Sports Coordinator will submit:
    1. A completed and signed Sports Coordinator Application, including a statement that she/he has read the Bylaws of the FGG, agrees to act in compliance with those Bylaws and understands and supports the Statement of Purpose, policies and procedures of the FGG.
    2. A letter of intent.
    3. A brief sport specific resume listing:
      1. sport events produced and a short description of each;
      2. job description for each event (e.g., director, official, seminar leader, rules arbitrator, competitor, score keeper, timer, etc.);
      3. location and dates of each event produced;
      4. other relevant professional and volunteer organization experience.
    4. Brief outline of an operations manual for the sports event, if requested by the Co-chairs of the FGG Sports Committee.
    5. Brief general resume.
    6. List of references and a letter of recommendation.
  2. After submission of the completed Application and supporting documentation and if so requested, the applicant will make a brief presentation before the Sports Committee.
  3. The Sports Committee will present its recommendations as part of the Sports Committee Report for final vote and approval by the FGG Board of Directors.
